Triple Arts Academy – Policies & Procedures

Respect & Conduct
​
Triple Arts Academy is committed to maintaining a respectful, inclusive, and positive environment for all students, staff, and families. We have a zero-tolerance policy for disrespectful or aggressive behaviour toward any member of our community. Anyone in violation of this policy will be asked to vacate the premises immediately and will forfeit their registration.

Class Cancellations & Weather Policy

Minimum Enrollment: Triple Arts reserves the right to combine or cancel group classes if fewer than three students are registered.

Inclement Weather: Classes may be cancelled in the event of severe weather or poor driving conditions. Families are encouraged to use their own discretion when deciding to attend if roads are unsafe in their area.

Emergency Closures: If classes are cancelled due to an emergency, families will be notified via email, text, or phone.

Make-Up Classes: If Triple Arts cancels a class, a make-up date will be offered. No credits or refunds will be issued for missed classes.

Statutory Holidays: Triple Arts Academy is closed on all statutory holidays.
Recital & Performance Policy
​
As Music & Dance are performance-based arts, all students are required to participate in our seasonal productions to support their training and experience.
🩰 WINTER RECITAL: Thursday, December 11, 2025
🌟 YEAR-END SHOWCASE: Friday, June 19 & Saturday, June 20, 2026
Exceptions apply to Day Camps, Workshops, and 4, 6, 8, 10, & 12-week Programs.
Dance Costume Fees: Collected in March/April. Fees range from $75–$130 per student, with younger classes (Preschool & Mini Programs) on the lower end of the scale.
Program Commitment & Payment Policies
MUSIC PROGRAM

Students commit to a full session:
-
Session 1: Sept. 15, 2025 – Feb. 15, 2026
-
Session 2: Feb. 16, 2026 – June 18, 2026
-

Withdrawals before the end of a session will result in the full remaining session fee being due.
-
Exceptions apply to 6 & 8-week programs, seminars, workshops, and day camps, which must be paid in full at registration.
KARATE & DANCE PROGRAM
-
Monthly enrolment (September to August) does not require full-season commitment.
-
To withdraw, 30 days' written notice must be submitted via email prior to the next scheduled AutoPay date. If notice is not received, the next month's fee will be charged before registration is cancelled.

Example: To stop classes on Nov. 18, notice must be submitted by Oct. 14 (before the Nov. 15 fee withdrawal).

Payment Details
-
AutoPay is required for all monthly programs (Visa or Mastercard), with a 2.75% transaction fee.
-
Monthly fees are processed on the 15th of each month through DSP Merchant Services.

If payment is not completed on the scheduled date:
-
A 5% late fee will be applied.
-
The full session amount becomes due immediately.

Declined/expired payments:
-
A $15 late fee applies if no alternate payment is made.
-
A $29 NSF fee is charged per declined transaction.
-
Two consecutive declines result in mandatory full-year tuition payment.
-

Pro-rated tuition is available only for new students joining after the start of a month.
-
Missed Music Lessons will only be credited if the office is notified by email at least 24 hours in advance.

No refunds or credits are issued for missed classes.
-
Students with unpaid balances will not be permitted to attend class.
Student Safety & Studio Etiquette

Teachers are responsible for students only during their class time. Parents must ensure timely drop-off and pick-up.

Students under 12 must have a parent or guardian present on-site.
Exceptions apply to Day Camps and Parent’s Night Out events.

Students must:

Be in appropriate karate/dance attire, with hair tied back.
-
Bring only water into the studio.
-
Remove all jewelry before class.
-
Be on time. A 10-minute grace period is allowed, but late arrivals beyond this point must sit and observe to avoid injury from missed warm-ups.

Cell phones must be off or on silent and stored in bags during class.
-
Students must wait indoors for pickup.
-
Do not send students or siblings to the studio unsupervised if they do not have a scheduled class.

Parents are not permitted inside studios during class. Viewing areas are provided, and parents will be invited in for scheduled observation days.

If someone other than a parent is picking up a student, please inform the instructor in advance for safety reasons.
-
Please keep absences to a minimum as this affects training progress.

All students and parents must act with respect and consideration for instructors, peers, and staff at all times.
